How to Increase Your Productivity and Forget About Procrastination

You can be much more productive. Imagine: already next week you perform 1.5-2 times more tasks, do it much better and, most importantly, have fun in the process. These 8 recommendations will help significantly increase productivity without burnout and procrastination. 

Decide Why You Want to Be Productive

No process can be successful without a definite goal. You need to be clear about the purpose for which you want to increase productivity. This greatly increases your intrinsic motivation. It’s the goal that will be your engine on the way to increased productivity. Short-term motivation will also give you energy. You can enthusiastically make a schedule for the next week on Sunday evenings. Plan to develop new habits and other processes to increase productivity. But by Monday, that enthusiasm will simply evaporate.

That’s why you need deep motivation. To set a goal:

  • Imagine how your life will change with increased productivity.
  • What specific areas you will be able to improve.
  • What kind of person you will become, for example, by getting rid of procrastination.

Visualize the result. Visualize yourself as a “new” person. That way you’ll form a concrete goal. Having a specific point B and clearly imagining it, you greatly improve your chances.

Find Your Time

Getting up before 5 a.m., “magic” morning routines, and being active early can really help you be more productive. And there are really many examples of people who, after reading the Magic of the Morning, dramatically change their lives for the better. But on the other hand, there are a large number of those who don’t last more than a day. And there are also a tremendous number of people who “deflated” after a week, half a month, or a month.

Everybody is different. Some people are really suited to the early risers. But each person has their own “prime time.” This is the time of peak productivity. When the body releases the maximum amount of energy. Your job is to find that time and set the most important tasks for that stretch. You will notice that you accomplish much more in three hours of work time than you did before in the whole work day. Simply because the tasks coincide with your peak productivity time.   • Write down your entire list of tasks for the day in advance and make at least a rough schedule for completing them. So that you know at what time and what you will be working on.
  • In the evening, take a sheet of paper and draw a Cartesian coordinate system, where the X axis is time and the Y axis is energy level.
  • During the next day, put points (task completions) on the time axis and draw a graph curve. At the end of the day, you will know exactly what time your energy level was at its peak. These are the tasks that give you energy. When your energy is at a lower level, it’s the work that defuses you.

Master Monotasking

Many people pride themselves on multitasking. There is definitely at least one such “Julius Caesar” in your environment. You look at him and think: “but how? He does two or three times what I do in one day. I can’t even imagine how he manages it all.”

You have to understand that there is definitely a flip side to this coin.

Spoiler alert: these people definitely have unproductive days. And it’s not about the days when he does a little less work. It’s about the days when a person lies logged all day and the days turn into weeks. And getting back into a resourceful state is difficult. The reason? Exhaustion! By exhausting himself every day, a person squeezes all the energy out of his body. Sooner or later the lack of energy will make itself felt.

There was a study at Stanford University that showed that humans cannot correctly concentrate on more than one task at a time. People who participated in the experiment worked on several tasks at the same time, switching between them. The illusion of total productivity was created. But it’s a matter of physiology. The brain releases large amounts of dopamine. The person feels happy, but the quality of work suffers greatly. The brain “gives out happiness on credit.” As a result, the quality of the result is low, and burnout is just around the corner. Focus on one task. Don’t get distracted, even if there is a lot of work to be done. It’s better to be a little late on a task than to turn in poor quality work. We’ll talk a little later about how to focus well.

Procrastination Is Everything

Imagine the situation: you are working on a task, you feel tired and decide to take a break. You sit down on the couch, turn on a YouTube video, then another and another. After two hours you realize that the task is not so difficult and you will easily finish it tomorrow before the new tasks. Many people know this feeling from school, when “I’ll do my homework tomorrow before classes.”

This is explained by human physiology. Procrastination happens because the emotional part of the brain, which calls for instant gratification, overcomes the logical part. And it’s impossible to get rid of procrastination completely without negative consequences.

But you can control it:

  • Recognize the real cost of procrastination. Write down all the tasks that you often put off for later. In another column, write down what your procrastination affects. Aim to realize what you are losing.
  • Substitute for procrastination. If imagining yourself at work on a task makes you want to cry, try starting with something more pleasant or simple. Just involve yourself in the work.
  • Take a small leap. Set a timer for 25 minutes. Focus on the work. If you feel you can keep going, don’t stop. There is no need to force yourself.

Forget About Time Management

Don’t panic! There won’t be a complete cancellation of time management.

It’s about priorities here, too. Focus on energy. The skill of time management is very cool. You are clearly aware of what you have to do, where and when. But does it increase your productivity if you work without energy?

Look for “prime time,” prioritize your tasks, and get high on your work. That doesn’t mean you have to give up your schedule altogether. Just line it up based on how you feel. Then every task will get done well and quickly. And most importantly, you’ll enjoy the process. This is not only about increased productivity, but also about the absence of burnout.

Use the Pomodoro Technique

This tool will be a key trigger for increasing your productivity. The technique dates back to the 1980s, but it’s still popular today. Its essence:

  • Pick a task you plan to work on.
  • Set the timer for 25 minutes and work continuously without any distractions.
  • When the timer beeps, take a break for exactly 5 minutes.
  • After the break, make another “run” for 25 minutes.
  • After completing four “tomato runs,” take a big break for 15-30 minutes.

The technique helps you focus on the task at hand and keep that focus the entire time you’re working on it. It allows you to break up cumbersome tasks into intervals that are comfortable for the brain. And constant breaks help you reset and stay focused. If, after working with this technique for a few days, you feel uncomfortable, try adapting it for yourself. For example, by adjusting the time of the breaks and the “tomatoes” themselves.

Use the Five-minute Rule

If you are reading this article, you definitely have a global goal that will dramatically change your life. It’s a goal on the verge of a dream. It’s the movement toward it that can give you a tremendous amount of energy for other tasks. Suppose you don’t have time to work on this goal. You keep postponing its start because there are “more important tasks.” That’s okay. You have to strike a balance between your dreams and what gives you results in the here and now.

But the energy that your body will release as you move toward your dreams will come in handy.

So what’s the solution if there’s no time? It’s simple: set aside five minutes a day for this task. Take micro-steps to show your body: it’s OK, we’re working on our global goals. Just five minutes a day you’re sure to find it. And that minimum time will get you fired up for the entire work day. Form the habit of working on a global goal for at least five minutes every day. Set your first point B – to last 21 days in this regimen. After three weeks, you’ll notice how much more energy you have.
